If observers are observing multiple students, they can click the Student drop-down menu to change the dashboard view of the student they are observing.

The dashboard changes based on the student’s dashboard view. NoteObservers will not be able to select multiple students at the same time. Only one user can be selected at any given time when filtered.

Zoom Apps

The Zoom Apps Quick launch Links to an external site. feature has now been enabled for all UT Zoom users from the Zoom Marketplace Links to an external site.. This allows you to enable and use UT approved Zoom apps directly through your Zoom client including the Timer application, which allows you to add a timer to your Zoom meeting or webinar without needing an external clock application. You may need to restart or upgrade your Zoom client to enable the App Quick Launch button.  We always recommend keeping your Zoom client up-to-date Links to an external site. as a best practice.

While we welcome the use of Apps to add additional functionality to Zoom, please understand these app integrations require access to our Zoom tenant data.  The Apps button, available when using the latest version of the Zoom client, will list a variety of tools available,  but given the classification of data in our tenant new apps and integrations must follow ITS guidelines Links to an external site. to be enabled.

On Thursday, July 21st, Panopto for Windows & Remote Recorders will be upgraded to version 12.0.0 or above and Panopto for Mac to version 11.1.0 or above. The upgrade will be applied to our Panopto site at 7:00pm CST.

New Feature - Gradebook > Message Observers of Students Who

Why the change? This update allows instructors to collaborate with observers through targeted communication.

Feature Workflow

In the Gradebook, find the assignment and click the Options icon [1]. Then click the Message Students Who link [2].

By default, Canvas will show names from the Haven't submitted yet category. In the For students who.. drop-down menu [1], select the category of students you want to message. Based on real-time data, Canvas will show the names of the observers who fall in the category you selected [2]. You can also remove observers from the message by clicking the Remove icon [3].

Note: This feature supports the option to include all observers, specific observers, or only students when sending a message from the Message Students Who link in the Gradebook only. This feature is not available in New Analytics at this time.

 

Deploy Notes - June 8

Canvas deploys contain code changes that are intended to fix bugs, improve performance, and prepare for new features. 

Rich Content Editor - Vector Button in Equation Editor

In the Rich Content Editor, a vector button has been added in the Equation Editor. This change allows instructors and students to include vector arrows with a button when creating an equation in the Rich Content Editor Equation Editor.

Syllabus - Icon Display in Syllabus Update

Previously, assignments, quizzes, and graded discussions displayed the same assignment icon in the Syllabus. Now different icon symbols display for assignments, discussions, and quizzes. This update allows users to differentiate between assignment, discussions, and quiz icons in the Syllabus Course Summary.

Panopto

Panopto Cloud Downtime [6/25]

On Saturday, June 25th from 8 – 11pm, Panopto will upgrade all Panopto Cloud sites to their latest release.   Release Notes | June 2022 Links to an external site.

This upgrade will require downtime. During the downtime, you will not be able to access videos on your Panopto site, and any attempts to upload from recording clients will result in a "Server unable to connect" message.

This feature was originally introduced in the 2022-04-16 Canvas Release Notes.

Why this change? This change allows instructors to create fill-in-the-blank questions with rich content such as scientific or mathematical formulas or a table. Additionally, instructors can format fill-in-the-blank questions to appear on separate, distinct lines.

When adding a fill-in-the-blank question, type a statement in the rich content editor and surround a word with backticks to indicate where a student fills in the answer.

In the Answer Type drop-down menu, select the Dropdown option, enter the correct answers and distractor answers, if needed. Possible Answer Types include a dropdown, open entry, or word bank.

Feature Preview indicates a feature option in active development. Users who opt in to the feature and join the Community user group can help improve the feature through direct feedback. This feature preview is limited to Manually Created Courses (Request a Sandbox/Course Shell) while it is in active development. For additional details about this feature option, please see Course Pacing Feature Overview document Links to an external site.

What is this? Course Pacing distributes due dates on a defined pace for rolling enrollments.

In Course Settings, click the Enable Course Pacing checkbox. To update your course, click the Update Course Details button.

Instructors can access Course Pacing through Modules. Note:  Content must be in modules to use Course Pacing.

Course Pacing allows automagical distribution of due dates for students with different start dates based on an instructor’s defined pace. This feature is ideal for rolling enrollment courses that have no start or end date, but can also be used when courses have a traditional start and end date as well.

Instructors can access Course Pacing through Modules and view student due dates.

When a student enrolls in the course their individual due dates are automatically set.

Instructors can set a number of days between each assignment. By default, weekends are skipped. To allow weekends in the due dates, click the Settings icon [1] and then deselect the Skip Weekends checkbox [2].

Zoom

Minimum Client Version - May 23rd

Beginning May 23rd, UT Austin’s central Zoom tenant (utexas.zoom.us) will require a minimum client version (5.10.4) in order to use the service.  Anyone not using a supported version of the client will be presented with a notification banner alerting that an update is required.  It will not be possible to either host or join a meeting on our tenant until their client is updated. This change is being made under the guidance of the Information Security Office to improve the overall security posture of the service and is generally considered best practice. In fact, simply updating the client typically resolves most reported Zoom issues while also providing immediate access to new features, such as Schedule a recurring Meeting with Saved Breakout Rooms, View Breakout Rooms from the Main Session, and Support for multi-spotlight for Cloud Recordings.  Additionally, file sharing integrations with Box, Microsoft OneDrive and SharePoint have been enabled, allowing sharing of files in the chat during a meeting Links to an external site..

Panopto Video Retention Schedule

To remain responsible stewards of the university’s online storage resources, Panopto administrators will implement an automated Panopto Video Retention Schedule for Panopto cloud storage on June 1, 2022.

Panopto Retention Periods

If you wish to retain videos longer than 5 years after they were last viewed, please contact the Service Desk at help@utexas.edu to discuss your options. Users who choose or need to retain videos longer than 5 years will assume records retention and disposition responsibilities for the recordings.

 

Panopto Cloud Downtime

On Saturday, June 25th 2022, Panopto will upgrade all Panopto Cloud sites to their latest release. This upgrade will require downtime. Canvas Course Copy

As you begin prepping for summer courses, a reminder that we have turned on Canvas Course Copy in Panopto. Canvas course instructors have the ability to manually copy Panopto videos from previous courses into new courses from within Panopto. When course content is manually copied, the videos in the original course's folder and any subfolders are copied to a new course folder. Where applicable, embedded videos are updated and linked to the new video copy. The new Panopto course folder is only shared with those enrolled in the new course. There is an option to exclude previous Zoom recordings.

How to Publish Videos Using the Availability Workflow Links to an external site. - Manually copying will move ALL videos in the course. Instructors can determine when sessions become viewable under Settings > Availability. Hint: the "Never" option will hide videos until you click the "Publish" button on a per-video basis.

Gradebook – Enhanced Filters [Feature Preview]

Feature Preview indicates a feature option in active development. When the Enhanced Gradebook Filters feature preview is enabled for a course, instructors can create filters that can be saved or used one time. 

The Filters button is in the upper right of the gradebook. Click to begin creating gradebook filters.

Instructors can select condition types and conditions to add to the filter. They can also remove conditions, apply the filter, and give the filter a name for future use. 

The following conditions can be used to create filters in the gradebook.

  • Assignment Group - select from the assignment groups created in the course 
  • Module - select from the modules created in the course 
  • Section - select from the sections available in the course 
  • Student Group - show only students in a selected group 
  • Submission - select to see assignments that have ungraded submissions or only those with submissions 
  • Start Date - show only assignments that have a due date at or beyond the start date selected 
  • End Date - show only assignments that have a due date at or before the end date selected 

Instructors can use multiple condition types and conditions to create specific filters for the gradebook. 

Once conditions have been selected, to view the filtered gradebook data on the selected set of conditions, click the Apply Filter toggle button.

Instructors can save the filter for future use by entering a name in the Give this filter a name field and clicking the Save button.

Gradebook data will remain filtered until the filter is removed.  

Note: When the Gradebook Filter is enabled in a course, the View Options move under Gradebook Settings (gear icon) and the Action Options split out into Import and Export buttons. To remove a filter, click the ‘X’ on the filter under Applied Filters.

Why the change?This change allows student first and last names to be displayed and exported in separate columns.

Notes

  • When student names are split, the Last Name column can still be sorted by type and order and supports secondary info.
  • If a user has a preferred name that is different from their legal name, the legal name will be displayed.

 

Gradebook - Missing Status Removal

Why the change? This change removes the Missing label for submissions that have not been submitted online but that have received a manually entered grade. This behavior also applies in SpeedGrader. 

When an assignment indicates a student’s submission as missing, and a grade is entered manually in the Gradebook, the Missing status is removed. In the Gradebook, the Missing status is indicated as a color. The Grade Detail Tray displays both the status and the color.

Notes 

  • Once a manual grade has been entered, the Missing label is removed. Removing the entered grade does not replace the Missing label. Labels that need to be reapplied must be done manually. 
  • The Missing label is also removed if the assignment is part of an assignment with a Late Policy, and a manual grade is entered for the assignment submission.

Why the change? This change allows instructors to award partial points for partially correct matching questions through auto grading. 

When a Matching Question is created, the Matching Questions question type includes the Grading section, which allows the question to require exact matches to receive full points or allow for partial credit. Previously, matching questions awarded all points or not points, even though a student was asked to assess multiple items within the same question.

When filtering item banks, the ‘All Banks’ filter displays item banks created by a user as well as item banks shared with the user. The ‘Banks Shared to Course’ filter displays item banks that have been shared with the course.

Previously, when adding New Quizzes to module requirements, users would find the item under Assignments. Now instructors can view all quiz types under the Quizzes heading.

Discussion Redesign - Anonymous Discussions  [Feature Preview]

This feature is used in conjunction with an existing feature option in Canvas (Discussion Redesign). For details about how to enable feature options, please see   How do I manage new features for a course? Links to an external site.

Discussions allow teachers to create anonymous discussions. This option displays when creating a new discussion for a course. By default, this option is set to off. 

When anonymity is turned on for a discussion, grading and groups are not supported.

Note: When the Discussion Settings menu option is selected for students to create discussions, the option is also included to allow students to create anonymous discussions. This option is not selected by default. 

When an anonymous discussion exists in the course, the Discussions page indicates anonymous discussions before a student opens the discussion.

Users with a teacher, TA, or designer role in the course will never be anonymous. However, student names and profile pictures are hidden from other course members, including teachers. Admins who are not explicitly enrolled as a teacher, TA, or designer and create a reply also display as anonymous. Additionally, users who view a course without having a course enrollment (such as when participating in a public course) also display as anonymous.

Zoom 

Highlighting a tool against Zoombombing 

Due to an uptick of non-UT Zoombombing, we are highlighting a tool useful for meetings where EID authorization is not a requirement, and the meeting is accessible to non-UT users. 

Suspend Participant Activity allows a host to immediately suspend all participants from sharing camera, using microphones, chat, screenshare, annotation, and the meeting will become locked to prevent new participants from joining. This will allow the host to report and remove malicious actors. 

To active Suspend Participant Activity 

  1. Click the Security icon on the bottom Zoom toolbar

  1. You may also remove the participant and submit a report for the user through Zoom

Available Now – Group HD

Users may now enable Group HD in their Settings Links to an external site. to enable higher quality camera video in meetings and webinars. For more information on system and bandwidth requirements, visit Zoom’s support page on Group HD Links to an external site..  

 

Upcoming Change to Breakout rooms

This change would allow Hosts to create, remove, and rename breakout rooms while they are open and in use. This feature requires client version 5.9.3 or higher and must be enabled by Zoom.

Canvas Course Copy

How to Manually Copy Panopto Course Content in Canvas Links to an external site. 

Open the new Canvas-linked course folder in Panopto that you want to copy the content to from another folder. Select the gear icon in the upper right corner to open Settings.

On the Overview tab of the Settings menu, scroll down to the section Course Copy and select Choose source folderNote: you must have instructor access to the linked LMS course on the folder you choose

Upon manually selecting an older Canvas course Panopto folder to copy to a newer course’s Panopto folder, Course Copy will: 

  • Automatically transfer course Panopto videos from one Canvas course folder to another course folder. Both folders must be Canvas course folders for Course Copy to work. 
  • Automatically re-link embedded Panopto videos copied from the original course pages into new courses, retaining the subfolder structure 

 

Notice regarding User Completion reports

There may be cases in which student views may not be correctly counted in User Completion reports from Panopto folders due to browser plugins, extensions, or adblockers. Please inform students that if they are receiving these notifications, they must allow Canvas and Panopto to adblocker exception lists, and if issues continue, contact help@utexas.edu.

New Analytics - Online Attendance

New Analytics includes an Attendance tab, which allows criteria to update attendance information for individual courses and remove manual attendance tracking. Instructors can choose which online criteria options to set for their course. Unlike Roll Call Attendance, an assignment is NOT created and scores do NOT pass to the gradebook. Instructors can also choose to disable online attendance for the course completely.

December Deploy/Bug Fixes

Canvas deploys contain code changes that are intended to fix bugs, improve performance, and prepare for new features.

Discussions Settings Menu Terminology Adjustments Links to an external site. - In the Discussions Settings menu, the Edit Discussion Settings title has been renamed to Discussion Settings. In the list of menu options, references to post have been renamed to reply or replies.
Gradebook Settings Sidebar Adjustment Links to an external site. - When the Gradebook Settings Icon is selected, the content displays as a sidebar instead of a new window within the browser. The Late Policies and the Grade Posting Policy tabs display by default. The Final Grade Override tab only displays if the feature is turned on for the course (under Course Settings > Feature Preview tab).
Settings Course Settings Publish Buttons Links to an external site. - This change allows courses to be published from either the Course Settings page or the Dashboard. When a course includes graded submissions, the course can no longer be unpublished and the buttons will be removed.

Course Import  Content Import Warning Message Links to an external site. - Canvas displays a warning message about overwriting existing content. This warning will appear when using the Course Import option and when using the Copy To option included in Assignments, Modules, and Pages.
Notifications Delivery Details Links to an external site. - The top of the Notifications page includes a banner that displays notification delivery dates and times for each user. Notifications details are displayed for both daily and weekly notifications. 
Rich Content Editor Image Options Percentage Links to an external site. - When an image is added to the Rich Content Editor, the Image Options sidebar includes pixels and percentage options. By default, images are still displayed in pixels. However, the percentage radio button can be selected, and a percentage can be entered to resize the image. 
User Settings To Do SpeedGrader Link Tab Setting Links to an external site. - In User Settings, the Feature Options section includes an option to open To Do items in a new tab. This setting is turned on by default. Instructors can disable this option if they prefer to open SpeedGrader links in the existing browser tab.

 

Zoom

Zoom Minimum Client Version  [12/20/2021]

Zoom Minimum Client Version will be raised to 5.8.4 on December 20th. Anyone not using a supported version of the client will be presented with a notification banner alerting that an update is required.  It will not be possible to either host or join a meeting on our tenant until the client is updated. This change is being made under the guidance of the Information Security Office to improve the overall security posture of the service and is generally considered best practice. In fact, simply updating the client typically resolves most reported Zoom issues while also providing immediate access to new features, such as Stop incoming video Links to an external site., Focus mode Links to an external site., Optional Reclaim Host when rejoining, and Two-way chat with Waiting Room participants.  

 

Zoom Cloud Recording Retention Policy

Reminder that any Meeting or Webinar recording saved to Zoom Cloud storage will be retained in the Zoom Cloud for 365 days, after which the recording will be deleted from the Zoom Cloud. Once the recordings are deleted, users will have 24 hours to retrieve any recordings from their trash can and return the video to their Zoom cloud. Zoom to Panopto Integration - faculty and staff can now opt in to have their Zoom Cloud recordings automatically move over to Panopto Cloud. Follow the instructions to adjust Zoom Settings and Panopto User Settings and then Edit your Course Panopto Folder Availability Settings to “Never” for the ability to “Publish” recordings when ready.

Panopto Cloud Downtime  [1/8/2022]

Our Panopto cloud site will be updated with the latest features and improvements on Saturday, Jan 8th 2022. We expect up to 4 hours of downtime, with a start time of 9:00 pm EST/6:00 pm PST. During the downtime, you will not be able to access videos on your Panopto site, and any attempts to upload from recording clients will result in a "Server unable to connect" message. Updated features include: Microsoft Teams integration, Canvas Course Copy and more,  https://bit.ly/3lzUdBT Links to an external site.

Note: Panopto dropped support for Internet Explorer 11 (IE11) on June 26th, 2021. Usage of IE 11 will be blocked with the January release.  Once this change is applied, users who attempt to access Panopto will be prompted to upgrade to a modern browser.

Why the change? This change allows instructors to control the presentation of an item’s stimulus, functionality that is useful when printing quizzes or when adding narrative stimulus content (such as Text (No Question) from Classic Quizzes).

The Stimulus question type includes an Orientation menu. By default, associated questions are shown to the right of the stimulus. Questions can alternatively be placed below the stimulus.

This is a manual process, so we encourage users to only request this service if they are unable to download their own recordings due to local storage limitations or data caps. If a user is unable to download their own cloud storage recordings on their local device, please  submit a request to Zoom@utexas.edu

Course Navigation - Sticky Menus

Why the change? This change allows users to access the course navigation menus at any time.

When a long page is scrolled, the respective menu is retained in the sidebar. If the navigation menu is longer than the height of the screen, the menu can also be scrolled to view all menu links.

 

SpeedGrader - Edit Submission Status Labels

Why the change? This change allows graders to change the submission status for a student’s assignment directly in SpeedGrader.

The SpeedGrader sidebar includes an Edit icon to be used for submission statuses. Statuses can be edited the same way as in the Gradebook. Additionally, adjusting a status in SpeedGrader also applies to the Gradebook.

  • Setting the status to Missing displays the Missing label.
  • If a late policy is enabled, setting the status to late displays the late label. Additionally, a text field allows the grader to enter a value for the days/hours late.
  • Setting the status to excused displays the Excused status, and the grade field displays as EX and is grayed out.
  • Setting the status to None removes any labels that were previously displayed for the assignment.

The Edit Status icon is not displayed in the following assignment scenarios:

  • Previously submitted submissions (only the most recent submission is supported)
  • Concluded/Inactive student enrollments
  • Assignments that require moderated grading

Why the change? This change allows graders to search for assignments in addition to student names.

The Gradebook includes two search fields: one for student names, and one for assignment names. Using the Assignment search field displays any search results that match an assignment in the course.

Panopto

Update on Zoom > Panopto Integration

The University has turned "on" the ability for users to opt-in to the Zoom to Panopto Integration. This integration will move a Zoom cloud recording directly into Panopto. The recording will then be deleted out of Zoom automatically and only be available in Panopto.  Any Zoom cloud-recorded meetings you schedule through a Canvas course will automatically move to that course's Panopto folder (the cloud recordings will be removed from the Zoom Cloud Recordings tab once the migration finishes). In addition, any meetings you schedule through the Zoom website or client for which you enable cloud recording will move to your 'My Folder' in Panopto. You can control (disable it or re-enable it) from your Panopto profile (the drop-down next to your name at top right when you log in at https://utexas.hosted.panopto.com ).

Virtual Classroom - End of Life Jan. 5, 2022

Top Hat has made the decision to shut down Virtual Classroom on January 5, 2022. This means that the video streaming, video recording, and live chat functionality within Top Hat will be disabled for all users on that date. Top Hat will be reaching out to professors who have actively used Virtual Classroom to help them use Top Hat with another video tool.

New Quizzes - Shortcut to Build in Modules

This adds supplemental functionality to the current workflow but doesn’t make a change in the existing workflow. Zoom Cloud Recording Bulk Download Service  

In preparation for the upcoming Zoom Cloud Storage retention policy Links to an external site. on September 30, 2021, ITS is temporarily offering to bulk download recordings for faculty with large volumes of videos yet to be removed from the Zoom cloud. They will assist with downloading all cloud recordings from a Zoom EID account and will transfer those recordings to Panopto, Box, or OneDrive accounts for users to self-manage.

This is a manual process, so we encourage users to only request this service if they are unable to download their own recordings due to local storage limitations or data caps. If a user is unable to download their own cloud storage recordings on their local device, please  submit a request to Zoom@utexas.edu

 

Zoom Minimum Client Version

UT Austin’s central Zoom tenant (utexas.zoom.us) will require a minimum client version in order to use the service.  Anyone not using a supported version of the client will be presented with a notification banner alerting that an update is required.  It will not be possible to either host or join a meeting on our tenant until the client is updated. This change is being made under the guidance of the Information Security Office to improve the overall security posture of the service and is generally considered best practice. In fact, simply updating the client typically resolves most reported Zoom issues while also providing immediate access to new features, such as Share screen to all Breakout Rooms. An announcement will be made with more information (i.e., date and client version).

 

Panopto

Update on Zoom > Panopto Integration

The University has turned "on" the ability for users to opt-in to the Zoom to Panopto Integration. This integration will move a Zoom cloud recording directly into Panopto. The recording will then be deleted out of Zoom automatically and only be available in Panopto.  Any Zoom cloud-recorded meetings you schedule through a Canvas course will automatically move to that course's Panopto folder (the cloud recordings will be removed from the Zoom Cloud Recordings tab once the migration finishes). In addition, any meetings you schedule through the Zoom website or client for which you enable cloud recording will move to your 'My Folder' in Panopto. You can control (disable it or re-enable it) from your Panopto profile (the drop-down next to your name at top right when you log in at https://utexas.hosted.panopto.com ).

Canvas

New Quizzes - Quiz Printing

This feature is used in conjunction with an existing feature option in Canvas (New Quizzes). For details about how to enable feature options, please see   How do I manage new features for a course? Links to an external site.

Why the change? This change allows quizzes to be printed in an offline format.

For individual quizzes, the Settings menu includes two options:

  • Print Key (with Answers)
  • Print Blank Quiz

Both quiz options display a Print Quiz window. By default, medium text is selected for the quiz printout. However, two additional larger options are available.

The Print Quiz window always retains the text size selected in the previously printed quiz. To always reset the text size to medium, instructors can deselect the checkbox at the bottom of the window.

When the print preview is generated for a blank quiz, the print dialog window displays the print options for the instructor. However, the quiz also reloads in preview mode. Instructors can exit the preview to return to the quiz editing page.

 

Rich Content Editor - Accessibility Checker Indicator

This feature is available as part of the Accessibility Checker Notification feature preview, which will be enabled for all institutions in the 2021-09-18 release. The Accessibility Checker is available NOW; the indicator will be available in September.

Why the change? This behavior invites content creators to improve their content and ensure it is accessible to all Canvas users.

When the Accessibility Checker Notification is enabled for a course, any accessibility issues detected within the Rich Content Editor display an indicator. This indicator helps users know about these issues without having to open the Accessibility Checker.

Zoom Breakout Rooms

Share screen to all Breakout Rooms for Windows, macOS, and Linux:  When sharing screen in the main session, the host or co-host can share their screen to all active Breakout Rooms. Any active sharing in the breakout sessions are interrupted and any annotation or whiteboarding prompts the sharer to save them before viewing the shared screen from the host. Host and participants must be on version 5.7.0 or higher to utilize and see this feature.

Community peers and subject matter experts will then provide helpful solutions to help you solve your problem.
