Departing from the University?
While part of the UT Austin community, you have access to a variety of services and tools meant to enhance and support your experience while enrolled or employed. Departing the university, either by graduation, retirement or otherwise, results in many of these services being disabled by default. It is important that you are aware of when this process goes into effect and you download and retrieve any relevant items before losing access.
When will you lose access to Information Technology (IT) services?
For students whose departure from UT coincides with the academic calendar, whether by graduation or taking a semester off, you will lose access on the 12th class day of the next long semester.
This is when the system transitions your affiliation from Current to Former. Generally, this applies to all listed services unless otherwise noted. If you are graduating in December, the system cutoff usually occurs on December 31 rather than the 12th class day, so discretion is advised. If you are withdrawing from UT for any other reason, your affiliation may change shortly after departing, resulting in lost access - plan accordingly. Microsoft 365 |
Suite of cloud-based Microsoft services including email, OneDrive, and Teams | Microsoft 365 accounts will be disabled and not accessible. Student data is permanently deleted after 365 days and cannot be recovered. You will lose access to collaborative work, email messages and conversations. UTBox | Storage solution provided by Box | UT Box accounts will be disabled and not accessible. After 365 days, student data is purged and cannot be recovered . Qualtrics | Campus Survey Tool | Qualtrics accounts will be disabled and not accessible. After 120 days, data is purged and cannot be recovered. Canvas | The primary learning management system used for courses at the University, Canvas is often a crucial part of your schedule and activities. |
Canvas accounts will be disabled and archived for 2 years. This means that any files, coursework or content associated with your account will remain for up to 2 years, per the campus data retention policy. How do I download assignment submissions from all my courses?

Zoom | Video conferencing solution most commonly used to facilitate lectures or presentations, as well as office hours and one-on-one meetings, with recording for later viewing. Recordings are available for 365 days from the original post date. | Zoom licenses are disabled. You will no longer be able to view lecture recordings, even if you are returning as a guest. Your instructor or host will need to make these publicly available to accommodate you - please contact your facilitator to determine if this is possible. |
