Change viewing permissions for folders and videos

ADDING AND REMOVING PEOPLE AND GROUPS THAT CAN ACCESS YOUR PANOPTO FOLDER 

 

To adjust who can see the videos in your Panopto folder, click the “Share” icon for that folder.

From here, you can see who has Creator and Viewer access for your folder. If your folder was created as a Canvas course folder, you will see a pre-made group of Creators and Viewers already assigned to the folder.  

Creator groups are comprised of Instructors and TAs, while the Viewer groups are comprised of all students in the class.

By default, any subfolders will inherit these permissions. If you would like to change who can access a folder or subfolder: 

1. Click Change next to “People and Groups”, and click Stop Inheriting to allow you to change settings

2. You can now add or remove people or groups using their EID or UT Email address as either a Viewer or a Creator for the folder 

  • Note that you may need to wait for predictive text to accurately confirm the addition

3. Select if you want to notify the new assignee and click Send or Save to grant access

4. The added user or group will now have access to the videos in the folder. 

 

NOTE:  You can also change settings on an individual video, but you can only grant Creator access at the folder level. 

 

ACCESSING A PANOPTO VIDEO USING A SHARE LINK OR AN EMBEDDED VIDEO 

 

If you need to grant viewer access to an individual folder or video outside of the assigned class or viewer group, or if you need to embed the video in a page, you can also customize the access of the video from the share settings. 

By default, all videos are restricted to their assigned Creators and Viewers, but you can change this by doing the following.  

1. Click Change next to “Who can access this folder”

2. Select one of the following: 

    • Restricted (Default): Share the video with specific people and groups as viewers. 
    • Your Organization (unlisted): Anyone at UT Austin with whom you've shared the link. EID login is required to view. 
    • Your Organization: Anyone at UT Austin with an EID can find and access the video. EID login is required to view. 
    • Public (unlisted): Anyone with whom you've shared the link can access the video. No EID login is required. 
    • Public: Anyone with the link can view. This should only be used for video libraries intended to be accessible by the general public. 

3. Click Save 

 

You can now copy and send the link or create the embedded video code for that video based on your access settings. 

 

CREATE A FOLDER FOR INSTRUCTORS ONLY

There are cases where you may want to store videos in a subfolder that is not viewable to your students or viewers, but you want your Creators to be able to access and edit the videos. 

Using the Share settings, you can: 

  1. Click Add Folder, create a new subfolder “Drafts”, and press Enter. 
  2. Go to the Share settings in the Drafts folder 
  3. Using the steps outlined in the previous section, remove the inheritance of People and Groups, and X out the Viewer group from this folder.  
  4. Click Save, and the Drafts folder is now inaccessible to the Viewers. This will leave the Creators group and any other assigned creators to be able to modify video contents before moving the video to the main course folder.
