Course Scheduling

Any courses taught abroad by UT Faculty must be added to the official UT course schedule for the semester in which they are taught. This page contains resources about when, how, and where to schedule courses for your program.

For programs that are administered through the department, course scheduling is the department's responsibility. However Education Abroad needs to be aware of these courses for programs in case the Office of the Registrar has questions. If you have questions about course scheduling for education abroad programs, please email Erin Brown Achterhof: elbrown@austin.utexas.edu.

General guidelines for course scheduling education abroad classes:

  • Specific to Maymester - For 2021, Maymester classes were transitioned to Summer classes. The transitioned courses and MUST have word ‘Maymester’ in the NONI restrictive statement or notelines. All other Summer programs should note 'Summer Abroad Program' in the notelines.

  • The title of the class must have the suffix of the country where the program will take place at the end of the title. The Office of the Registrar uses the three letter International Olympic Committee country code abbreviations. IOC Country codes can be found here Links to an external site..

  • Notelines should state if the course is conducted in a language other than English

  • For departmental faculty-led programs, notelines should include the following information:
    • Restricted to students in the Maymester {or Summer} Abroad Program; contact department for permission to register for this class. Class meets {dates abroad}. Faculty-led Abroad Program taught in {City, Country}. Students must consult with department {depends on who is administering} as travel and orientation dates may be in addition to these dates.

Flags:

During the course scheduling process, faculty may wish to consider applying for a Flag at the instructor level or course level.  The Center for the Skills and Experience Flags has multiple resources on their website for faculty and departments who want to learn about this process. Education Abroad has also prepared a Download handout

to get faculty started on considering whether to propose a Flag.
